Privacy policy

How Prosep handles the personal information you share with us, in line with South Africa's Protection of Personal Information Act (POPIA). Last updated 22 September 2026.

Who we are

"Prosep" is the trading identity of Prosep Chemicals South Africa (Pty) Ltd and Prosep Synergy (Pty) Ltd, registered in South Africa (together, "Prosep", "we", "us"). Our registered office is Unit 4, N12 Industrial Park, 188 Dr Vosloo Rd, Bartlett AH, Boksburg, 1459. For any question about this policy or your personal information, contact our Information Officer, Cameron McMillan, at sales@prosep.co.za or +27 11 918 7751.

We are the "responsible party" for the personal information described here, as that term is used in the Protection of Personal Information Act 4 of 2013 (POPIA).

What information we collect

Information you give us

When you use the enquiry form on our contact page, we ask for your name, company, email address, phone number, industry and your message. When you email or phone us, we keep the correspondence and the details you provide.

Information collected automatically

Our hosting provider records standard server logs when you visit the site: your IP address, browser type, the pages requested and the time of the request. These logs are used for security and to keep the site running; we do not use them to identify you.

The site does not set its own tracking cookies. The map on our contact page is embedded from Google Maps, which may set cookies and collect usage data under Google's privacy policy.

Behaviour analytics

We use Microsoft Clarity to understand how visitors use the site — which pages are read, where people scroll and click, and where they get stuck — through aggregated heatmaps and anonymised session replays. Clarity masks the text you type into forms by default. It sets cookies (such as _clck and _clsk) to recognise repeat visits. The data is processed by Microsoft under the Microsoft Privacy Statement . You can block these cookies in your browser settings without affecting the site.

Why we use it

  • To respond to your enquiry, arrange a site assessment and prepare a proposal.
  • To deliver and administer the services you engage us for.
  • To keep the website secure and available.
  • To meet our legal and regulatory obligations.

We process your information because it is necessary to respond to a request you have made or to perform a contract with you, or because we have a legitimate interest in running our business and website. We do not send marketing you have not asked for.

Who we share it with

We do not sell personal information. We share it only with service providers who help us run the site and respond to you, under agreements that limit what they may do with it:

  • Web3Forms — delivers enquiry-form submissions to our email. Submissions pass through Web3Forms' servers, which may be located outside South Africa.
  • Vercel — hosts the website and records the server logs described above, on infrastructure that may be located outside South Africa.
  • Google — provides the embedded map on the contact page.
  • Microsoft — provides Clarity behaviour analytics.

Where information leaves South Africa, we rely on the recipient being subject to laws or binding agreements that give it a level of protection substantially similar to POPIA, as section 72 of the Act allows. We may also disclose information where the law requires it.

How long we keep it

We keep enquiry details for as long as we need them to respond to you and, if you become a client, for the duration of our relationship and any period afterwards that the law or a reasonable record-keeping purpose requires. Server logs are kept for a short, rolling period by our hosting provider.

How we protect it

The site is served over HTTPS only, with security headers that restrict what can load on it. Enquiry details are held in our business email and systems, with access limited to the people who need it to respond to you.

Your rights

Under POPIA you may, at any time and free of charge:

  • ask whether we hold personal information about you, and request a copy;
  • ask us to correct or delete information that is inaccurate, out of date or no longer needed;
  • object to processing that is based on our legitimate interests;
  • withdraw consent where processing relies on it.

Email sales@prosep.co.za with your request. If you are not satisfied with our response, you may complain to the Information Regulator (South Africa).

Children

Our services are for businesses. We do not knowingly collect personal information from children under 18.

Changes to this policy

We will post any changes on this page and update the date at the top. Material changes to how we use information already collected will be communicated where we reasonably can.
